About the Role
Affirmative Portfolios is seeking a skilled and detail-oriented Bookkeeper to join our team on a contract basis. This role is crucial for ensuring accurate financial records, compliance with regulatory requirements, and efficient financial operations. The ideal candidate will have experience in bookkeeping, financial reporting, and project management within the NGO sector.


Key Responsibilities

  1. Bank Transactions Capturing
    • Capture transactions from main accounts, sustainability accounts, and other relevant accounts into Pastel Partner.
    • Verify and reference supporting documents for all transactions.
    • Ensure VAT is correctly accounted for and bank reconciliations are reviewed and signed off by the Finance & Operations Manager.
  2. Credit Card Transactions
    • Capture credit card transactions and ensure proper allocation in the General Ledger (GL).
    • Collect and verify supporting documents for each transaction.
    • Prepare monthly credit card reconciliation and ensure proper approval and sign-off.
  3. Petty Cash Management
    • Obtain and review petty cash book/spreadsheet from the Administration/Procurement Officer.
    • Capture petty cash transactions in Pastel and ensure correct GL allocation.
    • Verify VAT on tax invoices and maintain proper supporting documentation.
  4. Payroll Transactions
    • Prepare the payroll journal using the approved payroll schedule and submit for approval by the 20th of each month.
    • Process payroll transactions in Pastel and clear the payroll clearing account at month-end.
    • Save and organize relevant payroll information on SharePoint.
  5. Sub-Partner Reports and Journals
    • Obtain liquidation reports from Finance Officers and prepare corresponding journal entries.
    • Ensure reconciliation of sub-partner debtors’ ledgers and save all relevant documentation on SharePoint.
  6. Other Journal Entries
    • Prepare and submit journal entries for approval by the Finance & Operations Manager.
    • Accurately process entries in Pastel and ensure proper allocation to the GL, debtors, or creditors’ ledgers.
    • Update journal batches and save all approved documentation on SharePoint.
  7. Audits Preparation and Assistance
    • Assist in preparing audit files for statutory and project-specific audits.
    • Respond to audit queries and ensure timely submission of necessary documents.
  8. Tax Compliance
    • Prepare and lodge monthly EMP201s with SARS.
    • Handle and resolve SARS audits, collating and submitting required documentation.
    • Prepare and submit annual EMP501s and income tax returns, ensuring all deadlines are met.
  9. Reports and Variance Analysis
    • Extract GL data from Pastel into Excel to prepare funders’ reports.
    • Analyze budget variances and provide insights to the Finance Manager and relevant department directors.
  10. General Administrative Support
    • Retrieve and file bank statements weekly on SharePoint.
    • Ensure all financial transactions are properly referenced, captured, and supported by adequate documentation.
    • Assist with any other ad-hoc financial tasks as required by the Finance & Operations Manager.

Required Skills and Qualifications

  • Educational Background: Diploma in Bookkeeping or equivalent.
  • Experience: Minimum of 3 years of experience as a Bookkeeper, Accountant, or similar role.
  • Sector Knowledge: Experience in the NGO sector is preferred.
  • Technical Skills:
    • Advanced proficiency in Pastel Partner (including Pastel Intelligence Reporting).
    • Knowledge of Pastel Payroll and Sage Employee Self Service (ESS).
    • Intermediate to advanced skills in Microsoft Excel.
  • Regulatory Experience: Experience with SARS e-filing, submission of returns, and handling SARS audits.
  • Audit Experience: Experience working with auditors and supporting audit processes.
  • Other Requirements:
    • Valid driver’s license with the ability to drive.
    • Ability to manage multiple tasks, meet deadlines, and work under pressure.
    • High attention to detail, problem-solving skills, and strong organizational abilities.

  • Accounting Software: Proficiency in Pastel Partner, Pastel Payroll, and Sage ESS.
  • Regulatory Compliance: Understanding of VAT, payroll, and SARS submissions.
  • Administrative Skills: Ability to manage large volumes of documents and maintain a structured filing system.
  • Communication: Strong verbal and written communication skills.
  • Problem Solving: Proactive approach to identifying and solving issues.
  • Attention to Detail: Ensuring accuracy in capturing and reporting financial transactions.
