Job Overview:
We are seeking an experienced and detail-oriented Conveyancing Secretary to join our dynamic legal team. The successful candidate will be responsible for handling ABSA and Nedbank bond registrations, bond cancellations, and managing conveyancing processes from start to finish. This role requires strong organisational skills, the ability to work under pressure, and a commitment to excellence in service delivery.
Key Responsibilities:
- Bond Registrations:
- Handle and manage the full process of ABSA and Nedbank bond registrations.
- Ensure timely preparation, submission, and tracking of all relevant documents.
- Liaise with banks, clients, attorneys, and other stakeholders to facilitate the registration process.
- Bond Cancellations:
- Manage ABSA bond cancellations from initiation to finalisation.
- Ensure proper preparation, lodgement, and follow-up of cancellation instructions.
- Maintain accurate records of bond cancellation processes.
- Conveyancing Administration:
- Draft conveyancing documents and ensure compliance with industry regulations.
- Oversee the accuracy and completeness of all documentation before submission.
- Maintain and update records in the conveyancing system.
- Stakeholder Liaison:
- Serve as a point of contact for clients, attorneys, and banks.
- Ensure clear and timely communication to all parties involved.
- Address and resolve any queries from stakeholders.
- Compliance and Risk Management:
- Ensure all transactions comply with South African legal and regulatory requirements.
- Maintain confidentiality and security of all sensitive documents and information.
- General Administration:
- Assist attorneys and other legal professionals with day-to-day administrative support.
- Ensure all client records and files are kept up to date and properly stored.
- Support the firm’s broader administrative needs as required.
Key Requirements:
- Experience:
- A minimum of 3 years’ experience as a Conveyancing Secretary.
- Technical Skills:
- Proficiency in managing ABSA and Nedbank bond registrations and ABSA bond cancellations.
- Experience with conveyancing software and legal documentation tools.
- Administrative Skills:
- Ability to handle high work volumes while maintaining accuracy and attention to detail.
- Strong organisational skills and time management abilities.
- Ability to work efficiently under pressure and meet deadlines.
- Interpersonal Skills:
- Excellent communication and interpersonal skills.
- Ability to liaise with clients, stakeholders, and legal professionals with professionalism.

The final remuneration package will be determined based on the candidate’s qualifications, skills, and level of experience. It will be aligned with industry standards and market trends.
