This role requires a dynamic professional to support the service team, manage scheduling, and maintain seamless service operations.

Key Responsibilities

1. General Administration & Clerical Assistance

  • Support managers and employees with daily administrative tasks.
  • Assist in scheduling and booking service calls for technical teams.
  • Compile and process quotes, sales orders, invoices, and logistics.
  • Handle filing, photocopying, and answering incoming calls and emails.
  • Ensure customer records are updated and managed in a systematic and organized manner.
  • Maintain a professional and positive representation of the company to customers and stakeholders.

2. Service Administration

  • Book and schedule customer service calls.
  • Coordinate technical team assignments and ensure prompt service delivery.
  • Process quotes, orders, and invoices, ensuring all data is accurate and up-to-date.
  • Respond to client inquiries and requests for service support.
  • Collaborate with the logistics and technical departments to ensure timely service.
  • Maintain accurate records of customer interactions, orders, and status reports.

3. Stock Control

  • Order stock from internal branches as required for service jobs.
  • Receive, check, and reconcile deliveries from internal suppliers.
  • Manage stock transfers, ensuring accurate record-keeping and reconciliation.
  • Process credit notes and facilitate returns when needed.
  • Conduct monthly stock take and reconciliation of stock items related to service operations.

4. Technical Support

  • Gain a basic understanding of installation and technical requirements of products.
  • Assist in scheduling technical repairs and installations to ensure smooth workflow.
  • Retrieve and document site readiness confirmation from clients before installations.
  • Keep detailed and transparent records of technical requirements for each customer.

5. Debtors Clerk Support

  • Ensure adherence to financial approvals and payment terms for customers.
  • Allocate payments and communicate with head office for payment reconciliation.
  • Verify customer credit applications and facilitate authorizations with head office.
  • Support the finance department in addressing client billing issues and payment discrepancies.

6. Customer Service

  • Provide outstanding customer service by prioritizing phone calls and client queries.
  • Handle challenging customer situations with patience, empathy, and professionalism.
  • Use product knowledge to assist customers and ensure positive customer experiences.

Required Qualifications and Skills

  • High school diploma or equivalent qualification.
  • Prior experience in a similar administrative role preferred.
  • High proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Knowledge of SAP, service software, or financial systems is advantageous.
  • Exceptional organizational, multitasking, and time-management skills.
  • Strong verbal and written communication skills.
  • Customer-oriented mindset with a passion for delivering excellent service.
  • Valid driver’s license and good health record.

Benefits

  • Salary: R11,000 – R14,000 per month.
  • Leave: 15 days annual leave per year.

  • Retirement Fund: Compulsory retirement contribution (75% employer, 2% employee).
  • Bonus: Discretionary 13th cheque or bonus in December.

Working Hours

  • Hours: Monday to Friday, 8:00 am to 4:30 pm (45 hours per week).
  • Breaks: Two tea breaks (10:00 am & 2:00 pm) and a half-hour lunch break.
  • Overtime: May be required for stock counts or deadline-driven projects (e.g., tenders).
